Terms and Conditions

By booking services through Fine Arts Now, you agree to the following terms:

  • Booking Confirmation: Bookings are confirmed only after payment has been received and confirmation has been provided by Fine Arts Now. Availability is limited and handled on a first-paid, first-served basis. Submitting a booking form does not guarantee coverage.

  • Performance Information: Clients are responsible for providing accurate performance details, including the participant or team name, category, round, date, time, venue, and room. Schedule changes must be communicated as soon as possible. Fine Arts Now is not responsible for missed coverage caused by incorrect information, late notice, performer delays, or uncommunicated schedule changes.

  • Coverage Availability: Standard packages include one guaranteed performance round. Premier packages include one guaranteed round with priority consideration for additional preliminary rounds when scheduling allows. Additional-round coverage is not guaranteed.

  • Large Human Video Coverage: Large Human Video teams that book first or second-round coverage may receive third-round coverage at no additional cost upon advancing. Updated schedule information must be provided as soon as it becomes available. Third-round coverage is subject to scheduling availability.

  • Service Delivery: All videos and photo galleries are delivered digitally. Delivery timelines are estimates and are not guaranteed. Fine Arts Now is operated as a ministry-first service during available time, so delivery may vary based on event schedules, booking volume, travel, technical needs, and editing requirements.

  • Creative Discretion: Fine Arts Now maintains creative control over filming positions, camera angles, image selection, editing style, music selection, color treatment, and final presentation. Client input is welcome, but final creative decisions rest with Fine Arts Now.

  • Venue and Event Restrictions: Coverage is subject to the rules, access limitations, lighting conditions, staging, and filming restrictions established by the festival, venue, or event organizers. Fine Arts Now is not responsible for limitations caused by restricted camera positions, blocked views, audience movement, poor lighting, sound restrictions, or venue policies.

  • Content Ownership: Fine Arts Now retains ownership and copyright of all photos and videos created unless otherwise agreed in writing. Clients may download, share, and use delivered media for personal, church, ministry, and social media purposes. Media may not be sold, licensed, commercially distributed, or significantly altered without written permission.

  • Content Usage: Fine Arts Now may use selected photos and videos for its website, portfolio, social media, YouTube channel, and promotional materials. Solo performances will not be publicly posted without appropriate permission. Select group performances may be shared unless an authorized leader requests otherwise. Written opt-out and removal requests will be honored.

  • Communication: Clients are responsible for timely communication and providing all necessary information. Fine Arts Now is not responsible for delays, missed coverage, or delivery issues caused by missing information, incorrect contact details, schedule changes, or unresponsive clients.

Privacy Policy

Fine Arts Now respects your privacy. We collect only the information reasonably necessary to manage your booking, provide coverage, process payments, deliver media, and offer customer support. This may include:

  • Your name, email address, phone number, and Instagram handle

  • Your church, organization, team, or district information

  • Performance details such as category, round, date, time, venue, and participant or team name

  • Payment and transaction information

  • Media permission and promotional-use preferences

Fine Arts Now does not sell your personal information. Your information may be processed through trusted services used for website hosting, payment processing, email communication, cloud storage, gallery delivery, analytics, and booking management.

Reasonable safeguards are used to protect your information, but no online system can guarantee complete security. Information is retained only as long as reasonably necessary to manage bookings, deliver media, maintain business records, resolve concerns, and meet applicable legal requirements.

You may contact Fine Arts Now to request that your information be corrected or removed. Certain records may need to be retained for legitimate business, payment, or legal purposes.

Bookings involving minors should be completed by a parent, guardian, pastor, coach, or authorized adult leader. Fine Arts Now does not knowingly request that children under 13 submit personal information directly through the website.

Refund Policy

Due to the preparation, scheduling, travel, filming, and editing involved, all confirmed bookings are final and non-refundable. Full payment is required to secure coverage.

Cancellations must be submitted by email or communicated directly by phone. No refund will be issued when a client cancels, misses a performance, withdraws from the event, provides incorrect or incomplete schedule information, fails to communicate a schedule change, or is otherwise unable to participate.

Refunds will only be considered at the sole discretion of Fine Arts Now in rare circumstances, including:

  • A complete technical failure caused by Fine Arts Now that results in no usable footage from a confirmed performance

  • A scheduling error caused by Fine Arts Now that results in missed coverage of a confirmed performance

In these situations, Fine Arts Now may offer a full or partial refund for the affected service, replacement coverage, a future credit, or another reasonable solution. The remedy will be determined by Fine Arts Now based on the circumstances. Any refund will not exceed the amount paid for the affected performance.

No refund will be issued when coverage is affected by schedule changes, venue restrictions, event delays, overlapping performances, callback schedules, inaccurate information, emergencies, equipment restrictions, blocked camera access, or circumstances outside the reasonable control of Fine Arts Now.

Coverage of additional preliminary rounds, callbacks, and third rounds is subject to availability unless specifically confirmed. The inability to cover an additional round does not qualify the original booking for a refund.

All delivery timelines are estimates and are not guaranteed. Late delivery does not qualify for a refund. Fine Arts Now will make reasonable efforts to communicate significant delays and complete all outstanding work.
